ARC MyChart Terms and Conditions were updated on June 29, 2018.

This web site ("Site") and related services are provided by Austin Regional Clinic and Covenant Management Systems, ("Austin Regional Clinic") to its patients subject to compliance with the terms and conditions set forth below. Please read the following information carefully. Your continued use of this Site will indicate your agreement to be bound by the terms and conditions set forth below. If you do not agree to be bound by these terms and conditions, promptly exit this Site.


Your privacy is of the utmost importance to us. Austin Regional Clinic will use your confidential medical information in order to provide you healthcare services. Austin Regional Clinic will, at all times, maintain your confidential medical information in strict confidence and will not disclose any information regarding you to any unaffiliated third party unless you authorize that person to receive your information or the information is permitted to be disclosed by law. Please review Austin Regional Clinic's Notice of Privacy Practices for a thorough description of how we gather, use and protect your confidential medical information. All messages sent and received within MyChart that contain medical information are subject to all state and federal laws governing the security and confidentiality of medical records.

Austin Regional Clinic reserves the right to collect general information regarding usage and users of this web site (including, without limitation, the name of the domain of each user, the IP protocol number of each user, and the date and time each web page was visited). However, information which can personally identify individual users will not be collected.

Third Party Applications (Mobile Apps)

If you as a patient find a third party app that you would like to use to access and import your health information, ARC provides the ability for you to do so. To do this, you must establish an ARC MyChart patient portal account since the security - user name and password - you set for ARC MyChart would be your authentication for any third party app to access and import your health information. ARC reserves the right to disable any third party app if needed.

Secure Communications

All communications between you and Austin Regional Clinic using MyChart occur over a secure connection. You will receive Internet e-mail messages notifying you that new information is available in your MyChart account. These e-mail messages, however, will not contain any confidential medical information. All of the confidential medical information available to you in MyChart is protected and securely maintained by Austin Regional Clinic.

Credit Transactions

If you elect to pay for any service hereunder through your credit card, we, in our sole discretion, reserve the right to accept payment from your credit card. By requesting the credit card payment option, you hereby authorize us to bill and charge the credit card indicated in your order, for any fees and/or any other amounts provided for in your order, as the same become due and payable. In the event we elect to so accept payment, we shall debit the applicable amounts from your credit card. In the event that your credit card expires or we are otherwise unable to debit the applicable amounts from your credit card, we shall provide notice to you, whereupon you immediately shall either (i) furnish in writing to us a valid credit card account number, or (ii) make payment to us in other immediately available funds, whether by check or otherwise.

Use and Ownership

All pages within this Site and any material made available for download are the property of Austin Regional Clinic and/or its subsidiaries and affiliates. The content on the Site is provided for Austin Regional Clinic and its patients only. The words "Austin Regional Clinic" and its associated corporate logo are the trademarks and service marks of Covenant Management Systems and all other trademarks, service marks, and logos used in this Site, including but not limited to MyChart and Epic, are the trademarks, service marks, or logos of their respective owners. Nothing on this Site should be construed as granting any license or right to use any trademark, service mark, or logo displayed on this Site without the express permission of Austin Regional Clinic or the third party that may own the trademark, service mark, or logo.

Termination of Access

Austin Regional Clinic may restrict or terminate access to MyChart at any time. If access is restricted for planned maintenance of the MyChart system, every effort will be made to communicate downtime to all users in advance. However, there may be reasons to restrict access to MyChart without advance notice. If your use of MyChart violates these Terms and Conditions, the Austin Regional Clinic reserves the right to permanently terminate access to MyChart.

Access Code and Medical Information

  • I understand that MyChart is intended as a secure online source of confidential medical information.
  • The access code I receive will allow me to create a personal login name (called "MyChart Username") and a password. By signing this, I assure ARC I will keep my login name and password completely confidential. Anyone with access to my MyChart ID and password will be able to access my, my child's, or proxy's confidential medical information and will be able to read my messages and send new messages, so I will make efforts to prevent disclosure of my login information.
  • I agree that it is my responsibility to select a confidential password, to maintain my password in a secure manner, and to change my password if I believe it may have been compromised in any way.
  • I understand that MyChart contains selected, limited medical information from a patient's medical record and that MyChart may not reflect the complete contents of the medical record. I also understand that a paper copy of a patient's medical record may be requested from the patient's clinic.
  • I understand that my providers will share health information about me, my child or dependent, or adult for whom I am managing their health, through MyChart, including test results, and it is my responsibility to view any information released into MyChart. I also understand that with regard to sensitive test results and some abnormal test results, such results will first be communicated with me or directly with the ARC patient by phone or in person and will then be released in MyChart for all patients 18 and over.

MyChart Communication And Information Is Not For Urgent Matters And Does Not Constitute Medical Advice

MyChart is offered to Austin Regional Clinic patients as a convenience and not as a substitute for face to face consultation with your physician/provider. MyChart shall NOT be used to consult with your physician or provider on urgent or emergency health care. By using MyChart, I understand and agree to the following:

  • I will not use MyChart until I have established a physician-patient relationship with my ARC physician or provider.
  • I will not use MyChart to communicate with my physician/provider regarding any changes in my health condition.
  • I acknowledge MyChart is not a substitute for personal consultation with my physician or provider. I further understand and agree that:
  • I will make an appointment with my physician or provider should I have any changes in my health or the condition for which I am being treated for by my provider.
  • I understand and agree that communication through MyChart is NOT for urgent health issues and I will NOT use MyChart to discuss any urgent or emergency healthcare matters. For urgent healthcare concerns, I will contact my physician. In the case of an emergency, I will go to the nearest ER or call 911.
  • I agree to not change or stop any course of treatment prescribed by my physician based on information found on MyChart without first consulting my provider.
  • I understand that messages sent via MyChart might not be addressed in a timely manner or might be routed to another authorized caregiver within ARC in order to facilitate a timely response.
  • I understand that computers may malfunction and that MyChart may not be available 24 hours a day, 7 days a week without interruptions. In the case of an urgent health care concern I will contact my physician/provider by telephone. If I cannot reach him/her, I will leave a message with my physician/provider's nurse or schedule an appointment with another ARC physician.
  • I understand that my physician/provider may not review and respond to a communication that I make through MyChart immediately, on the same day, after normal working hours from 8:00am-5:00pm, Monday - Friday, or on holidays or weekends. If I do not hear back from my physician/provider immediately or during holidays or weekends, I will not assume that my provider/physician has reviewed my communication and will not make any healthcare decisions without first consulting my physician/ provider.
  • Discussion of sensitive healthcare matters such as mental health or substance abuse, HIV or STDs should occur in face to face conversations with my physician/provider and not through MyChart.
  • I understand that my activities within MyChart may be tracked by computer audit and that entries I make may become part of the medical record.
  • I understand that access to MyChart is provided by ARC as a convenience to its patients and that ARC has the right to deactivate access to MyChart at any time for any reason. I understand that use of MyChart is voluntary and I am not required to use MyChart or to authorize a MyChart proxy.

Accuracy and Integrity of Information

  • Although ARC attempts to ensure the integrity of the Site, it makes no guarantees as to the correctness or accuracy of the information. It is possible that MyChart could include typographical errors or other inaccuracies. Please consult your physician's office if an inaccuracy arises.
  • ARC makes no representations whatsoever about any other web site that you may access through MyChart. When you access a non-ARC site, please be advised that it is independent from ARC, and that ARC has no control over the content on that web site, and ARC does not endorse or accept any responsibility for the content or use of any other linked site.
